CHALLENGES

Nearly 20 years ago, K Post Roofing & Waterproofing of Dallas, TX opened its doors for business; they had an eager crew that offered a service, but no way for the company to efficiently manage work order history and invoices.

During the first few years in business they stored all their documents the old-fashioned way using filing cabinets, which quickly began to multiply and take up valuable space in their office.

K Post adopted the use of Excel spreadsheets, but they were also cumbersome to update and keep track of.

This antiquated process ultimately slowed down the sales and operations teams which consequently made invoicing a slow and tedious process.

Steve Little, the president of KPost Roofing & Waterproofing, knew their company would never scale if they didn’t find a more efficient way to do business. That’s when they heard about Dataforma, who was making a name for themselves in the roofing industry as the solution for organization and centralized data storage for contractors.

Steve liked that Darryl, the founder of Dataforma, had a roofing background. He trusted that someone with similar experience would better understand the same challenges and bottlenecks of the roofing industry. Ultimately the feeling was that they would be better equipped to develop a program that would solve the same problems KPost faced.

PROCESS/HIGHLIGHTS

Once they adopted Dataforma for their document storage and invoicing, Steve realized they could use the platform to track customer’s historical data including roof assessments, work order history, warranty information to better manage customer relationships.

Dataforma saved KPost’s office staff hours each day by simplifying document storage and reducing the time spent searching through cluttered filing cabinets for warranty information, past work orders, roof inspection reports, and quotes.

The platform allowed the service sales team to take a more proactive and organized approach with managing their customer’s roofs through preventative maintenance. In addition, this new modern process reduced the time it took to receive payments with efficient invoicing tracking, empowering KPost to more accurately forecast accounts receivable.

Using Dataforma’s capabilities as a customer relationship management (CRM) tool, Steve and his team were able to develop a centralized list of current and prospective customers. This helped shorten deal cycles and ensure follow up communications didn’t slip through the cracks.

Being one of the earliest adopters of the software, for nearly two decades KPost Roofing & Waterproofing have worked closely with Darryl and the Dataforma team to troubleshoot and develop new features that improve workflows to save time and money.

RESULTS

The platform has been a gamechanger for Steve Little and KPost, saving them countless hours on manual tasks that used to take so many man-hours. Now just about every department uses Dataforma in day-to-day operations.

Proposals are no longer lost and forgotten sheets of paper that fell out of a clipboard in a sales representative’s truck. Work orders are electronically filed and easily retrieved for quick reference on calls with clients. Service managers don’t have to carry around a calendar of scheduled maintenance appointments on them and commit tasks to memory anymore. Dataforma has top-to-bottom streamlined the operations process for the entire company.

Thanks to Dataforma, KPost Roofing and Waterproofing has been able to scale into one of the largest roofing contractors in the Dallas/Fort Worth area and the country. They have grown to take on large high profile commercial projects such as the AT&T Arena and the Perot Museum of Nature & Science as well as countless local businesses and residential homes.

Steve Little says he couldn’t imagine building and leading an enterprise roofing business without Dataforma, and after years of working closely together to develop game-changing features, he can’t imagine working with anyone else!
